Privacy policy

Stichting Groningen Congres Bureau (hereinafter referred to as: GCB) attaches great importance to protecting your privacy, so we carefully process and secure (personal) data. In this privacy statement we explain what personal data we collect and use and for what purpose.

Processing of personal data
GCB may process your personal data because you make use of our services and/or because you provide this data to us yourself. For example, you can provide us with your contact details if you wish to communicate with us, if you wish to receive further information about our services, if you subscribe to our newsletter, if you wish to apply for a position within our organisation or if you wish to do business with us. We then process this personal data in order to perform our services and/or to inform you. Without this personal data, it is not possible for us to perform our services and/or inform you. We will only use your personal data to process your request.

We may also be able to obtain information indirectly relating to you through a third party. When we do so, we ask the relevant third party to guarantee that the information has been legally obtained by them and that we have the right to obtain and use that information.

In addition, we are interested in data that says something about the use of our website, such as the number of visitors in a certain period of time, what countries our visitors are from and which pages are viewed the most. We can register your IP address and domain name for this purpose. In order to adapt the facilities and functions to the user's equipment, we also keep track of the type of browser you use to access our website. The information obtained is owned by GCB.

The GCB also uses functional cookies on its website. A cookie is a simple, small file that is sent with pages on this website and stored on the hard drive of your computer by your browser. We use cookies to remember your settings and preferences. You can disable these cookies via your browser. The way to do this differs per browser, optionally consult the help function of your browser for this. You can also set your browser to refrain completely from receiving cookies, but this results in a limitation in the user experience of the website. The American company Google places a cookie via our website as part of the “Analytics” service. We use this service to track and receive reports about how visitors use the website. Google can provide this information to third parties if Google is legally obliged to do so, or insofar as these third parties process the information on behalf of Google. We have no influence on this.

Use of personal data
GCB collects and uses your personal data to provide the information and services you have requested and to manage the website. GCB may also use your personal data to keep you informed about the services of GCB. We may also use your personal data for research and analysis purposes in order to improve both our website and our services.

GCB needs a legal basis to be able to process your personal data. GCB will process your personal data based on processing grounds such as the execution of an agreement, on the basis of a legal obligation or by means of your consent. In the case of consent, you have the right to withdraw it at any time.

Your privacy is respected by all our employees. The information and personal data will be treated confidentially, including by third parties responsible for the security of your data storage, and will not be used for purposes other than those mentioned.

Transfer to third parties
GCB does not sell, rent or lease its customer lists to third parties. GCB will never disclose your personal data, without notice, except when required to do so by law or if we believe in good faith that such action is necessary to:
• comply with a legal request; or
• protect and defend the rights or property of GCB; or
• act under urgent circumstances to protect the personal safety of GCB users or the public.

In some cases, however, the personal data you provide may be processed by third parties. For example, GCB can hire a supplier to carry out administrative and operational work to support our relationship with you. These suppliers are bound by contractual and other legal obligations to treat your personal data confidentially and to respect your privacy. They therefore only have access to the personal data they need to carry out their work. If required, we will enter into a processing agreement with this third party.


Retention of personal data
The basic principle for the retention of personal data is that all data should not be kept longer than necessary. Therefore, GCB will not retain personal data longer than is strictly necessary to achieve the purposes for which the data is collected. Excluded from this is the data that we have to keep longer because the law obliges us to do so.

Security of personal data
GCB ensures appropriate organisational, technical and physical security of your personal data. The GCB secures the personally identifiable information you provide on computer servers in a controlled, secure environment, protected against unauthorised access, use or disclosure.

Automated decision making

GCB does not make automated processing decisions about things that may have (significant) consequences for people.

Your rights
Among other things, you have the right to information, access or rectification, deletion, limitation of processing or the right to data portability.

If you wish to exercise your rights, please send a specified request to To verify that it was you who made the request, we will ask you to include a copy of your ID. Obscure the photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen Service Number (BSN) in this copy. This is to protect your privacy. GCB will respond to your request as soon as possible and no later than within four weeks.

Changes to the privacy statement

This privacy statement can be changed. GCB will occasionally update the privacy statement to reflect company and customer feedback. GCB recommends that you periodically consult this statement to stay informed of how GCB is protecting your information.
